Within this mission, we are seeking an exceptional Scientific Project Manager to help drive research operations across some of HT’s most exciting scientific programmes.
You will be a central pillar of the team, managing scientific projects, supporting the Ciliopathies Research Flagship Programme, and building the administrative backbone that lets world-class science move fast and effectively. Uniquely, you will also work in close collaboration with our Scientific Project Manager for Computational Biology, forming a growing team of research management professionals who jointly support HT’s cross-cutting initiatives, including the Scientific AI Flagship and the Multimodal AI Across Scales Research Programme. By building shared expertise, we intend to strengthen the whole institute.
Your mission
- Lead scientific project management across all scientific activities: oversee implementation of the Ciliopathies Flagship Programme and other research projects, monitor milestones, coordinate cross-team and cross-institution efforts, facilitate meetings, and translate scientific goals into clear, actionable roadmaps.
- Drive grant management end-to-end: support grant writing and scientific reporting, manage pre- and post-award activities in coordination with the HT Grant Office, track budgets, and scout relevant funding opportunities.
- Manage regulatory compliance and agreements: prepare documentation and permits for work with animal models and human-derived cells, coordinate patient sample transfer agreements with hospitals, and handle MTAs, DTAs, and collaboration agreements in line with legal, ethical, and institutional standards.
- Support recruitment and communications: assist with hiring processes and onboarding, and create and maintain content for the lab and institutional websites.
- Collaborate with our Scientific Project Manager for Computational Biology, sharing expertise and jointly supporting HT’s cross-cutting flagship activities, including the Scientific AI Flagship. Assist with procurement and legal compliance for computational infrastructure such as cloud computing platforms, AI software licences, and HPC resources.
- Act as a central liaison ensuring effective communication across research teams, administrative offices, and external partners, while maintaining comprehensive documentation and information flows across teams and programmes.

Working alongside outstanding scientists in cell biology and computational biology, you will develop deep expertise spanning bioethical compliance and clinical sample logistics, EU grant strategy, and the procurement of cutting-edge AI and computing infrastructure. As part of a collaborative and growing project management team at HT, you will have visibility across institution-wide programmes and the opportunity to shape how research is done at scale.

What you'll bring
Essential
- A master’s degree or relevant experience is required (PhD is a plus).
- At least 5 years of experience in project management.
- Experience with project management in a leading role.
- Demonstrated experience in managing multi-stakeholder projects.
- Knowledge of budget planning, grant management, and reporting processes.
- Professional working proficiency in English, written and spoken.
- Prior experience working in or directly supporting an academic research institution.
- Familiarity with legal, regulatory, and ethical standards in scientific research initiatives.
Preferred
- Relevant certifications in project management or equivalent are a plus.
- Experience with and a genuine interest in AI tooling.
- Experience with European competitive funding programmes (e.g., Horizon Europe, ERC) and familiarity with pre- and post-award grant processes at the EU level.
- Knowledge of Italian regulatory and ethical frameworks for biomedical research, particularly for work involving animal models, human-derived biological materials, or patient samples.
- Italian language skills, or a genuine motivation to develop them.

- Proven ability to manage multiple projects and meet deadlines effectively.
- Excellent interpersonal and communication skills for stakeholder engagement and team coordination.

This is a permanent contract offered under CCNL Chimico Farmaceutico, Level B1.
Salary: up to € 50.000,00 depending on the candidate’ seniority.
The position is based in Milan, Italy, within our vibrant international campus.
