Within this mission, the Multimodal AI Across Scales Research Centre develops and applies cutting-edge machine learning methods — in particular deep neural networks — to analyse microscopy data and biological imaging across spatial and temporal scales. We work at the interface of computer vision, computational biology, and biomedical research, collaborating with experimental groups both within Human Technopole and internationally.
We are seeking a Research Administrator to coordinate and manage administrative tasks related to the centre’s activities. The role includes overseeing operational processes, placing and tracking purchase orders in SAP, managing calendars and scheduling, organizing events and meetings, and ensuring compliance with relevant policies and procedures. This position acts as the main administrative point of contact for research teams, managing both internal and external communications, and ensuring the smooth functioning of the research centre. Your mission
- Provide administrative and operational support to research activities, ensuring efficient workflows, calendar management, and communication.
- Manage financial and resource processes, including SAP orders, budget monitoring, expense tracking, and procurement of supplies and equipment, licensing of computational tools, software and research-specific resources.
- Coordinate meetings, events, and travel logistics, supporting workshops, conferences, collaborations and facilitate logistics for international academic visitors and external research collaborators.
- Serve as the primary point of contact for internal and external communication related to the research areas.
- Support team activities such as recruitment, onboarding, and preparation of documents, reports, and presentations.
- Assist with grant management and reporting, including tracking deliverables, supporting preparation of progress reports, and documentation for research funding (e.g., ERC, EU Horizon projects).

What you'll bring
Essential
- Bachelor’s degree.
- Proven administrative or operational experience.
- Experience in budget monitoring and resource procurement.
- Proficiency in office software and research management tools (e.g., Microsoft Office, LIMS). Good knowledge of SAP by Design and/or SAP S/4HANA and or similar tool.
- Expertise in organizing events, meetings, and handling travel logistics and expense reports.
Preferred
- Experience supporting grant applications or reporting cycles (e.g., ERC, EU Horizon, national funding agencies).
- Italian language skills, or a genuine motivation to develop them.
- International experience in a research or academic environment.
Organisational and social skills:
- Ability to prioritize tasks and manage multiple projects to meet deadlines efficiently.
- Strong written and verbal communication skills for interacting with internal teams and external stakeholders.
- Strong critical thinking and problem solving skills to address operational challenges and ensure continuity of research activities.
- High attention to detail in managing documentation, financial records, and inventories.
- Ability to work collaboratively with diverse teams and support team members effectively.

Salary: up to € 42.700,00 depending on the candidate’ seniority.
