Human Technopole (HT) is an interdisciplinary life science research institute, created and supported by the Italian Government, with the aim of developing innovative strategies to improve human health. HT is composed of five Centers: Neurogenomics, Computational Biology, Structural Biology, Genomics, and Health Data Science. The Centers work together to enable interdisciplinary research and to create an open, collaborative environment that will help promote life science research both nationally and internationally.
The Human Technopole Foundation is looking for a Contract Management Back Office Operator.
The role reporting to the Head of Procurement (ad interim)/Contract Management Manager supports the administrative and operational activities related to contract execution. The role focuses on ensuring accuracy in documentation, compliance with procedures, and timely processing of requests and transactions within the procurement cycle.
The Procurement and Supply Chain team ensures that HT’s procurement processes are efficient, compliant, and transparent. The office supports both scientific and administrative departments, managing contracts, supplier relationships, and related documentation to guarantee seamless operations.
Key tasks and responsibilities
- Support the front-office colleague in the management of framework agreements, related call-offs, and ensure accurate documentation (technical, administrative, compliance);
- Collect and process requests from researchers and administrative staff;
- Monitor lead-times and carry out expediting actions when required;
- Prepare technical and administrative documentation (e.g. customs duty, DDT, compliance documents);
- Update and maintain price lists;
- Support Finance in the registration of invoices and management of contract guarantees;
- Update authority platforms (e.g. ANAC);
- Follow up with suppliers regarding delays, delivery issues, or invoice discrepancies;
- Verify sponsor/supplier/subcontractor documentation for campus access in line with internal rules;
- Manage certified emails (PEC), incoming/outgoing protocols, and the official mailbox of the Area.
- Ensure proper filing and archiving of documents;

Job requirements
Essential requirements:
- Bachelor’s degree in Business Administration or a related field (or equivalent experience);
- 3 or more years of experience in the role;
- Good understanding of administrative requirements related to public procurement;
- Ability to handle documentation with attention to detail and compliance;
- Fluency in Italian, both written and spoken;
- Fluent English, both written and spoken.
Preferential requirements:
- Knowledge of the Italian Code of Public Contracts (D.Lgs. n. 50/2016);
- Previous experience in public procurement or regulated environments;
- Familiarity with platforms such as ANAC;
- Knowledge of procurement procedures and compliance requirements;
- Knowledge of ERP systems (SAP preferred) and MS Office (Excel in particular).

Salary range: up to 36K, depending on the seniority of the candidate.
