Human Technopole (HT) is an interdisciplinary life science research institute, created and supported by the Italian Government, with the aim of developing innovative strategies to improve human health. Its mission is to conduct cutting-edge research and translate innovations into methodologies accessible to the entire national scientific community. As part of this mission, HT provides access to state-of-the-art research infrastructure in five key areas through the National Facilities for Structural Biology, Light Imaging, Genomics, Genome Engineering, and Data Handling & Analysis.
About Scientific Operations
The Scientific Operations organization sits at the interface between Research and Administration and drives the success of Human Technopole in areas as technology excellence, innovation, training and collaborations.
We are now seeking for a candidate with early professional experience who want to develop administrative and organizational skills in a complex scientific organization.
Key tasks and responsibilities
- Meeting & Agenda Management: Schedule and coordinate meetings for senior leaders; prepare agendas and take/distribute minutes.
- Database Management: Assist with Database creation, curation and data extraction (CRM, Database Management Systems for Research or Administration, etc).
- Travel Coordination: Organize travel, accommodation, reimbursements, and event logistics; liaise with internal and external stakeholders.
- Documentation & Records: Maintain records, manage approvals, and prepare ad-hoc reports.
- Administrative Support: Track action items, monitor deadlines, and help managers prioritize tasks.
Job requirements
Essential requirements
On the closing date for online applications, the candidate must fulfil all the following conditions:
- Previous experience as Administrative Assistant, or in a similar role (1-2 years).
- Experience managing multiple tasks and projects simultaneously
- Experience in database and repository management (e.g. research information systems, publication repositories).
- Bachelor’s degree in Business Administration, Management, or equivalent experience.
- Fluency in English and Italian written and oral.
Preferred requirements
- Good knowledge of Microsoft Office and office managing tools.
- Experience in international environment.
Organisational and social skills
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and a high degree of accuracy.
- Ability to handle sensitive and confidential information with discretion.
- Problem-solving mindset and proactive attitude.
