We are seeking an ambitious Assistant to provide operational and administrative support to the Head of the President’s Office and Corporate Affairs, ensuring the smooth day-to-day functioning of the Office. The role focuses on execution, coordination, and practical support across administrative activities, meetings, logistics, and information management. The Assistant works under the guidance of the Head of the President’s Office and collaborates with internal support functions.

 

Your mission
The role provides administrative and operational support to the President’s Office and Corporate Affairs, contributing to the effective management of daily activities and institutional processes. Responsibilities include handling correspondence, preparing and organizing documentation, maintaining shared repositories, and supporting agenda coordination and ad-hoc operational tasks.

The position supports the organization of meetings and logistics, including scheduling, room bookings, preparation of materials, minute-taking when required, and coordination of travel and visitors in collaboration with the Travel Office. It also provides basic financial and supplier support, assisting with expense tracking, purchase requests, and follow-up with Procurement and Finance.

In addition, the role contributes to document and information management by collecting, formatting, and updating reports and presentations, ensuring accuracy, version control, and proper archiving. The position also supports institutional protocol activities, including the registration, classification, and archiving of official communications, management of the PEC mailbox, and maintenance of governance documentation repositories.

You will strengthen your ability to coordinate complex activities, manage confidential documentation, and interact with internal and external stakeholders. The position also offers opportunities to build competencies in protocol management, financial tracking, and cross-functional collaboration within a dynamic institutional environment.

What you'll bring

Essential

  • Bachelor’s degree or equivalent experience.
  • At least 1–2 years of experience in executive-level administrative or operational support roles (e.g. supporting senior leadership such as President, CEO, Managing Director or equivalent).
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management systems.
  • Proven experience in calendar management, meeting coordination, and travel/logistics organization.

Preferred

  • 2 – 3 years previous experience as administrative assistant.
  • Familiarity with protocol activities and PEC mailbox management.
  • Experience with expense tracking, purchase requests, or supplier coordination.

  • Strong organizational skills – Ability to manage multiple priorities, deadlines, and last-minute requests with structure and accuracy, ensuring smooth coordination of executive activities.
  • Attention to detail – High level of precision in document preparation, scheduling, and follow-ups, with a focus on quality and completeness of information.
  • Discretion and confidentiality – Ability to handle sensitive institutional and governance information with professionalism and trustworthiness.
  • Proactive approach – Capacity to anticipate needs, identify potential issues, and act autonomously to support the Office effectively.

Salary: from up to € 43.000,00 depending on the candidate’ seniority.
The position is based in Milan, Italy, within our vibrant international campus.
